📌 When Should You Submit A Report?

Players should submit a report whenever they reasonably believe that a server rule has been violated and the matter cannot be resolved through normal roleplay or respectful communication.

Every report should be submitted honestly and with the intention of helping staff understand what occurred. Reports should never be used as retaliation following roleplay, as leverage during disputes or as a method of harassing other members of the community.

Submitting a report does not automatically mean that a rule has been broken. It simply begins an administrative review during which all available information is considered before any conclusion is reached. Players are expected to remain respectful throughout the process and allow staff to investigate without attempting to pressure, influence or rush the outcome.

Taking a few moments to gather information before opening a ticket helps the Administration Team investigate the situation more efficiently and reduces the need for follow-up questions.

• A clear summary of what occurred.
• The names of the players involved.
• The approximate date and time of the incident.
• The location where the incident took place.
• Any screenshots, recordings or other supporting evidence.
• The specific rule or concern you believe may have been violated, if known.

The Administration Team may consider a variety of evidence when reviewing a report. Different forms of evidence carry different levels of reliability, and multiple sources are often evaluated together to establish a complete understanding of the incident.

• Video recordings.
• Screenshots.
• In-game chat logs.
• Discord conversations directly related to the incident.
• Server logs where applicable.
• Statements provided by the involved players.

No single type of evidence automatically determines the outcome of an investigation. Staff consider the complete body of available information before reaching a conclusion.

🎥 Video vs. Screenshots

Whenever possible, video recordings provide the clearest representation of an incident because they preserve the sequence of events, player interactions and the surrounding context.

Screenshots remain valuable, particularly when documenting chat messages, building violations or isolated events. However, a single image rarely captures everything that occurred before or after the moment it was taken.

For this reason, Administration may request additional screenshots, longer recordings or further clarification before reaching a decision. Whenever practical, continuous recordings provide the strongest foundation for administrative review.

🧩 Context Matters

Evidence should accurately represent the complete sequence of events rather than isolated moments removed from their surrounding context. Administrative decisions are based upon what actually happened, not merely on a single screenshot or a brief clip viewed in isolation.

A screenshot showing the final moments of an argument may not explain how the situation began. Likewise, a short recording may omit important actions or conversations that occurred immediately beforehand. For this reason, staff evaluate the broader timeline whenever possible instead of relying upon individual moments alone.

Providing additional context often prevents misunderstandings and allows investigations to more accurately reflect the events that occurred.

🚫 Altered or Misleading Evidence

Players must never intentionally alter, manipulate or selectively present evidence in a manner that changes its meaning or conceals relevant information. Administrative investigations depend upon honest documentation, and deliberately misleading staff undermines the integrity of the entire review process.

Minor edits that do not affect the content of the evidence, such as blurring unrelated personal information, may be acceptable where appropriate. However, edits that remove context, hide important messages or otherwise misrepresent what occurred are prohibited.

If Administration determines that evidence has been intentionally manipulated to influence an investigation, that conduct may itself become a separate rule violation.

Not every investigation results in disciplinary action. In some situations, the available evidence may support multiple reasonable interpretations or may simply be insufficient to establish whether a rule violation occurred.

When this happens, Administration may conclude the investigation without issuing disciplinary action while encouraging the involved players to move forward constructively. This approach protects every member of the community by ensuring that decisions are based upon verifiable information rather than uncertainty or assumption.

Confidentiality encourages honest participation, protects sensitive information and helps ensure that investigations remain focused on the available evidence rather than public opinion.

Every investigation concludes only after the available evidence has been thoroughly reviewed. Depending on the circumstances, an investigation may result in administrative action, educational guidance, requests for additional information or a determination that no rule violation occurred based upon the evidence available.

Administrative discretion allows staff to evaluate situations that cannot be resolved simply by reading a single sentence in the handbook. Every decision should reflect both the written rules and the principles those rules were created to protect.

If an action undermines fairness, immersion or the integrity of the server, it may still require administrative intervention even when the exact scenario is not described word-for-word elsewhere in this handbook.

When reviewing an incident, Administration may consider both what occurred and why it occurred. Understanding a player's intent often provides valuable context when determining an appropriate response.

For example, an honest misunderstanding of a recently updated rule may be treated differently from a deliberate attempt to exploit the same mechanic for personal gain. Likewise, repeated violations following previous guidance may demonstrate a pattern of behaviour requiring a different administrative response.

Intent does not excuse a rule violation, nor does it automatically determine the outcome of an investigation. Instead, it helps Administration understand the surrounding circumstances and apply the rules fairly while balancing accountability with reasonable judgment.

Every case is evaluated individually. Administration considers the complete circumstances surrounding the incident before deciding whether action is necessary and, if so, what response is most appropriate.

📋 Possible Administrative Outcomes

• A warning or other corrective action is issued.
• Restorative measures are taken to resolve the situation.
• More serious disciplinary action is applied where appropriate.

The chosen outcome should always reflect the specific circumstances of the investigation rather than applying identical responses to every incident.

• Administrative actions are chosen according to the circumstances of each investigation.
• Education and correction are preferred whenever appropriate.
• Repeated misconduct may result in progressively stronger responses.
• Restoring fairness is often as important as addressing the violation itself.

Appeals should only be submitted when there is a legitimate reason to believe that an administrative decision should be reviewed.

🚫 When An Appeal Is Not Appropriate

Simply disagreeing with a decision is not, by itself, sufficient justification for an appeal. Appeals should be based upon facts, evidence and rule interpretation rather than personal opinion or dissatisfaction with the outcome.

The Administration Team can investigate reports, interpret rules and enforce community standards, but no amount of moderation can replace a respectful and cooperative player base.
